This page describes the process of using SurveyStream on a survey. The process is divided into planning, configuration, and operation phases.

Planning Phase

Identify Your Team's SurveyStream Point Person

Identify a SurveyStream point person on your team who will set up SurveyStream and be the main point of contact with the SurveyStream engineering team.

Ideally, your team’s SurveyStream point person will also be involved in building your SurveyCTO form(s) and will be well-placed to understand how the two systems interact.

Fill Out the Contact Form

Fill out the SurveyStream contact form. The SurveyStream team will then reach out to schedule a planning call.

Discuss and Finalize Your Plan With the SurveyStream Team

The planning call with the SurveyStream team will involve discussing fit with your survey, features to be used, and technical inputs you will need to gather in order to configure SurveyStream. The SurveyStream team can also demo features and the configuration process if desired.

Make sure to carefully review the documentation before the planning call and be ready to discuss specifics.

During the call you should make sure to align with the SurveyStream team on the plan for the configuration phase, including:

  • Who will be responsible for configuring SurveyStream. The SurveyStream team is responsible for dashboard configurations and can support on other configuration tasks if desired.

  • A regular check-in schedule during setup and while your survey is running.

  • Timelines for gathering technical inputs, configuration, and field activities.

Configuration Phase

Before you start configuring SurveyStream, you should have a finalized SurveyCTO form definition that you will use for your survey. This form definition should be uploaded to SurveyCTO and ready for use.

Kindly check the SurveyCTO main form requirements section to ensure your form meets the necessary requirements for SurveyStream integration.

You can start configuring SurveyStream by following the steps below. The configuration process is designed to be modular, allowing you to configure only the features you plan to use for your survey and whenever the inputs for each module is ready. Each feature has its own configuration requirements and steps, which are detailed in the feature deep dive sections.

  1. Start a survey by clicking on ‘Configure new survey’ on SurveyStream home page.
  2. Fill out the background details of your survey.
  3. Select the features you plan to use for your survey in the Feature Selection module. Other modules will be enabled based on your selection.
  4. At this point, you can also add roles and users to your survey in the User and Role Management module with different permissions based on your team’s needs.
  5. Check the prerequisites in the feature deep dives for each feature you plan to use and go through the steps provided there to configure each feature.

Testing Phase

Set apart time to test the SurveyStream outputs before the start of your survey. This is a critical step to ensure that everything is working as expected and to catch any issues early.

During this phase, ensure that there is some test data in your SurveyCTO form and coordinate with the SurveyStream team to generate different outputs based on the test data. Teams generally do this during surveyor training/ piloting when there are some test submissions in the SurveyCTO form.

Operation Phase

While your survey is running you should plan to keep in touch with the SurveyStream team through regular check-ins. You should also plan to reach out to communicate:

  • Any technical issues you are facing with SurveyStream so that these can be promptly addressed.

  • Any changes to the SurveyCTO form definition as these can require reconfiguring SurveyStream.

Also, monitor the notifications section on SurveyStream for any errors or alerts that need to be addressed for SurveyStream to function properly.
