Supervisor Mapping
Overview
The Supervisor Mapping module is used to define the relationship of targets and surveyors with their direct field supervisor, i.e., the supervisor with the lowest level field supervisor role based on the supervisor hierarchy defined in User and Role Management. The mapping of the field supervisor to targets and surveyors is done on the basis of the criteria selected under Module Questionnaire.
The mapping is only configured for users with the lowest level field supervisor role. Once the targets and surveyors are mapped to the lowest level field supervisors, supervisors with higher level field supervisor roles can automatically be linked to targets and surveyors based on this mapping and the supervisor hierarchy defined in User and Role Management module.
Needed for features
The Supervisor Mapping module is enabled when one of the following features is selected under “Module Selection”:
-
A field supervisor can only assign or reassign the targets they supervise to the surveyors they supervise.
-
The direct supervisor of a surveyor is CC’d on emails sent to the surveyor.
-
Dashboards (Optional)
It is possible to include supervisor information on the dashboard. It can be used to filter and view productivity or data quality metrics per supervisor, if needed.
Prerequisites
This step has the following prerequisites:
-
Select the mapping criteria
The criteria for mapping supervisors to targets and surveyors are selected in Module Questionnaire. The selection here is used to ensure the datasets uploaded in the next steps have the columns needed for mapping.
-
Configure targets
Upload the list of respondents to the Targets module in SurveyStream. For each target, it is mandatory to include the fields needed for target to supervisor mapping.
-
Configure surveyors
Upload the list of surveyors to the Enumerators module in SurveyStream. For each enumerator, it is mandatory to include the fields needed for surveyor to supervisor mapping.
-
Configure the lowest level field supervisor role and users with that role
Define the roles in the survey along with the hierarchy in the User and Role Management module. Add users for the lowest level field supervisor role. For these users, it is mandatory to provide inputs for the fields needed for target to supervisor mapping and surveyor to supervisor mapping. For e.g, if language is a mapping criteria, user language will be a mandatory input.
Configuration
Key concepts
Mapping criteria
Mapping of targets and surveyors to supervisors can be based on location, gender, language, or any combination of these.
E.g., in a data collection project, if all female surveyors are supervised by female field supervisors and all male surveyors by male supervisors, the mapping criteria is gender; if all targets in a prime geo location are supervised by supervisors in charge of the same or neighboring prime geo locations, the mapping criteria is location.
If the mapping is not based on location, gender or language, you can select mapping criteria as manual.
Mapping criteria value
Mapping criteria value is the value of the fields used for mapping.
E.g., if the surveyor - supervisor mapping criteria in a survey is language, the languages corresponding to the surveyors like
Hindi
,Oriya
,Kannada
etc. are the mapping criteria values.
Mapping logic
Once the mapping criteria is defined and the datasets are uploaded, SurveyStream automatically maps the targets and surveyors with a mapping criteria value for which there is a single supervisor. E.g., if the surveyor - supervisor mapping criteria is gender and there is only one female supervisor, all female surveyors are automatically mapped to this supervisor.
Targets and surveyors with remaining mapping criteria values (i.e., those without a supervisor or with multiple supervisors) must be mapped manually in the Supervisor Mapping module.
If the mapping criteria is manual, all targets and surveyors must be mapped manually.
Process
There are two tabs in this section: Surveyors - Supervisors for mapping surveyors to supervisors and Targets - Supervisors for mapping targets to supervisors. Each tab has the following steps:
Configuration step
In this step, a mapping criteria value without a supervisor can be mapped to another mapping criteria value.
E.g., if the mapping is based on language and for a language in targets Oriya
, there are no supervisors with language Oriya
and the field team structure is such that supervisors assigned to the language Hindi
are also in charge of targets with language Oriya
- Oriya
is mapped to Hindi
in this step.
The Reset Mapping button in this step deletes all manually mapped data.
Final mapping step
In this step, you can view the mapping of targets/surveyors to supervisors and edit the mapping for targets/surveyors with a mapping criteria value for which there are more than one supervisor.
You can select multiple targets/surveyors with the same mapping criteria value like targets with the language Oriya
and map them together to a supervisor.
If a criteria like location, gender or language is selected for mapping, mapping for the target/surveyor is restricted to supervisors with the mapped criteria values.
